The source of the account data is you or the person(s) who microchipped an animal that is being registered to yourself, or the person(s) transferring ownership of a microchipped animal to yourself. The account data may be processed for the purposes of operating our website, providing our services, ensuring the security of our website and services, maintaining back-ups of our databases and communicating with you. The legal basis for this processing is our legitimate interests, namely the proper administration of our website and business.

2.4 We may process your information included in your personal profile on our website ("profile data"). The profile data may include your name, address(es), telephone number(s), email address, gender and date of birth. The profile data may be processed for the purposes of enabling and monitoring your use of our website and services. The legal basis for this processing is our legitimate interests, namely the proper administration of our website and business.

2.5 We may process information contained in any enquiry you submit to us regarding goods and/or services ("enquiry data"). In the event that Users do not opt in then we will NOT share information with third parties for the purpose of marketing.

2.13 Pet Data will not be held liable or responsible for any incorrect data stored in our database that has been submitted or provided by a third party. It is the responsibility of the person(s) providing the data to ensure they have obtained the correct permissions from the data owner(s) or individual(s) to which the data relates, before passing the data to us.

2.14 In the event that the microchip number of an animal recorded on our database is entered into the look-up tool on the Site, or given to a member of Pet Data personnel, contact details of the current owner will be displayed, according to the privacy setting selected. This privacy setting is selected by the keeper upon account creation and can be amended at any time via the account profile page. Regardless of the privacy options selected by the User, Pet Data reserves the right to disclose Owner contact information to any person who has requested and received authorisation, who is involved in securing the welfare of this animal.

3. Automated decision-making

3.1 We will use your personal data for the purposes of automated decision-making in relation to the management of your account.

3.2 This automated decision-making will involve assessing any stored data to ensure our records are up-to-date and accurate.

3.3 The significance and possible consequences of this automated decision-making are automated emails or text messages (SMS) of an administrative nature may be sent to you.

4. Providing your personal data to others

4.1 We may disclose your personal data to any member of our group of companies (this means our subsidiaries, our ultimate holding company and all its subsidiaries) insofar as reasonably necessary for the purposes, and on the legal bases, set out in this policy.

4.2 We may disclose your personal data to Pet professional advisers insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.

4.3 We may disclose your personal data to our suppliers or subcontractors insofar as reasonably necessary for completing transactions (for example to create or maintain insurance policies) created through our websites.

4.4 Financial transactions relating to our website and services are handled by our payment services providers, Stripe or Pay Pal. We will share transaction data with our payment services providers only to the extent necessary for the purposes of processing your payments, refunding such payments and dealing with complaints and queries relating to such payments and refunds. 4.5 We may disclose your personal data to one or more of those selected third party suppliers of goods and services identified on our website for the purpose of enabling them to provide a service or fulfill an order that you have chosen to receive. 4.7 There are third parties with privileged access to the database for purposes of reunification. These third parties will have applied and been granted access, by a senior member of the Pet Data team.

5.1 In this Section 5, we provide information about the circumstances in which your personal data may be transferred to countries outside the Gulf Area.

5.2 We and our other group companies have offices and facilities in the United Arab Emirates.

5.3 The hosting facilities for our website are situated in the United States of America

5.4 You acknowledge that personal data that you submit for publication through our website or services may be available, via the internet, around the world. We cannot prevent the use (or misuse) of such personal data by others.

6. Retaining and deleting personal data

6.1 This Section 6 sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data.

6.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

6.4 In some cases it is not possible for us to specify in advance the periods for which your personal data will be retained. In such cases, we will determine the period of retention based on the following criteria:

(a) the period of retention of your personal data will be determined based on the requirements to maintain historical microchip record keeping.

6.5 Notwithstanding the other provisions of this Section 6, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

7.1 We will take appropriate technical and organisational precautions to secure your personal data and to prevent the loss, misuse or alteration of your personal data.

7.2 We will store all your personal data on secure servers, personal computers and mobile devices, and in secure manual record-keeping systems.

7.3 The following personal data will be stored by us in encrypted form: your password(s).

7.4 Data relating to your enquiries and financial transactions that is sent from your web browser to our web server, or from our web server to your web browser, will be protected using encryption technology.

7.5 You acknowledge that the transmission of unencrypted (or inadequately encrypted) data over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

a) whether this is a correction, such as a typing error, or change of details and/or

b) the User's account type.

13.1 If an owner wishes to migrate data held by Pet Data for themselves and any animals they are registered as the keeper of, to another UAE compliant microchip database, then Pet Data reserves the right to charge an adminstration fee if the owner holds a free basic account. This request must come directly from the owner through a verifiable source, e.g. an email from the email address in the owner's account.

14. About cookies

14.1 A cookie is a file containing an identifier (a string of letters and numbers) that is sent by a web server to a web browser and is stored by the browser. The identifier is then sent back to the server each time the browser requests a page from the server.

14.2 Cookies may be either "persistent" cookies or "session" cookies: a persistent cookie will be stored by a web browser and will remain valid until its set expiry date, unless deleted by the user before the expiry date; a session cookie, on the other hand, will expire at the end of the user session, when the web browser is closed.
